Terms of service

1. Who we are and what you are agreeing to

Kairo is a service of Craft Lab, SLU, Spanish tax ID B42627893, registered at Calle Leonardo Da Vinci 12A, Nave 8, 03203 Elche, Alicante, España. You can write to us at info@mykairo.app.

Creating an account or using the service means you accept these terms. If you disagree with any of them, do not use Kairo. They are completed by the legal notice, the privacy policy and the cookie policy.

2. What the service is

Kairo is a task and list manager. With an account you can:

• Create tasks, lists, sections, labels, filters and reminders.
• Record conversations and get a transcript, a summary and the tasks that came out of them.
• Share lists and tasks with other people and invite them by email.
• Upload files to tasks and comments.
• Capture tasks from outside the app: Siri shortcuts, an email address, the API or an NFC tag.
• Subscribe to your dates from an external calendar, read-only.
• Use the installed mobile app, which works offline and sends your changes once the network is back.

Some features depend on third-party services and are only available when those are configured. We may add, change or withdraw features.

3. Price

Today Kairo is offered free and without a card. If paid plans appear in the future we will announce them in advance, and we will never charge you anything you have not explicitly signed up for. What you have already created stays yours, and you can export it.

4. Your account

• You can sign up with an email and a password or, where enabled, with Google or Apple. The details you give must be true and kept up to date.
• The account is personal. You are responsible for what happens with it and for looking after your password, your two-factor codes and your capture tokens.
• You can turn on two-factor authentication in settings. We recommend it.
• If you suspect someone has got into your account, change the password and tell us. Settings has a security log with sign-ins and failed attempts.

5. Minimum age

You must be at least 14 years old to create an account — the age at which Spanish law allows a person to consent to the processing of their own personal data. Under 14, a parent or guardian must create and manage the account.

6. Acceptable use

You may not use Kairo to:

• Do anything unlawful, or infringe anyone else's rights.
• Upload or spread harmful software, or content you have no right to share.
• Access — or try to access — other people's accounts, lists or files without permission.
• Get around technical limits, attempt throttling or access controls.
• Load the service disproportionately: the capture API is rate-limited and the maximum file size is 25 MB.
• Resell the service or pass it off as your own.

7. Recordings: your part of the deal

Recording is the feature that needs most care, because it involves other people. When you use it you agree to comply with the law:

• In Spain, recording a conversation you take part in is lawful. Recording one you do not take part in is not.
• If you record other people or share those recordings, you are the one deciding about their data and the one responsible for informing them and having a legal basis to do so. Craft Lab, SLU acts there as a provider processing the data on your behalf.
• Public links to a recording are created by you and you choose what they show. Anyone with the link can see them until you revoke it.

Limits worth knowing: on iPhone the browser cuts the microphone if you leave the app or the screen turns off, phone calls cannot be recorded because iOS prevents it, and the useful range of a phone microphone is two or three metres.

8. Your content

What you create is yours. Tasks, notes, comments, files, recordings and transcripts remain the property of their author.

So that we can run the service, you grant us a limited, non-exclusive, royalty-free licence to host, copy, transmit, transcribe, summarise and display that content — and only for that purpose: making Kairo work for you and for the people you share it with. The licence lasts as long as the content stays in the service.

We do not use your content to train artificial intelligence models, and we do not sell it or hand it to anyone for advertising. The providers involved in transcription and summaries are listed in the privacy policy.

9. Content shared with other people

When you share a list, a task or a recording, whoever receives it can see it and, depending on the role you give them, change it. Each person sees the task filed where they keep it. Unsharing cuts off access, but we cannot undo what has already been seen or copied.

10. Availability

The service is provided «as is» and as available, with no guarantee of uninterrupted or error-free operation. Each deployment of a new version takes the service down for a few seconds, and there may be outages for maintenance or because a provider fails.

We take backups, but they are no substitute for yours. From Settings you can export all your data as JSON or CSV whenever you like; do it from time to time.

11. Limitation of liability

To the extent the law allows, Craft Lab, SLU is not liable for loss of profit, loss of data, loss of opportunity or indirect damage arising from the use of, or inability to use, the service.

None of the above excludes or limits liability for wilful misconduct, gross negligence, personal injury or anything else the law does not allow to be excluded. If you are a consumer, your statutory consumer rights are unaffected.

12. Suspension and termination

• You: you can stop using the service whenever you want. To delete your account and everything attached to it, go to Settings → Profile → Delete my account: it is deleted there and then, with nobody to ask. Export anything you want to keep first.
• Us: we may suspend or close an account that breaches these terms or puts the service or other people at risk. Unless the severity or the law prevents it, we will warn you first and give you a chance to fix it and to export your data.
• What you delete stays 30 days in the bin and is then really deleted. Deleting your account also deletes its content as described in the privacy policy.

13. Changes to these terms

We may change these terms when the service or the applicable rules change. If a change matters, we will give notice in the app or by email before it takes effect. Continuing to use Kairo afterwards means you accept it; if you do not, you can close your account.

14. Governing law and courts

These terms are governed by Spanish law. Any dispute will be submitted to the courts of the city of Alicante, Spain, unless the law requires otherwise. If you are a consumer, you may bring proceedings before the courts of your place of residence.
